## Compare dental receptionist options against your practice's requirements

**Disclosure:** VoiceFleet is our product. This guide does not establish that it is the best or cheapest option. We have not independently tested the listed providers' dental integrations, clinical handling or claimed business results.

Use the same criteria for every provider: administrative call handling, your practice-management workflow, human handoff, Irish number requirements, data handling and total cost. The provider names below are listed alphabetically, not as a performance ranking. Current capabilities, prices and availability require confirmation with each provider.

## Options to discuss with vendors

### Arini

If Arini is on your shortlist, ask for a demonstration using the practice-management system and administrative call scenarios you actually need. Confirm Irish number support, supported actions, handoff arrangements and the applicable data-processing terms.

### Dentina.ai

Ask Dentina.ai to show how a caller's details reach staff, how appointment requests are handled and what happens if a connected system is unavailable. Confirm the exact integration and plan rather than inferring support from a general dental feature description.

### Moneypenny

Ask which parts of your proposed service are handled by people or automation, which hours are covered, and how appointment requests or urgent messages reach your team. Obtain a quote for the same workload used in your other comparisons.

### Smith.ai

Confirm the proposed mix of human and automated handling, available numbers, practice-management actions and escalation arrangements. Ask for the applicable data-processing documentation; a general compliance label is not a substitute for reviewing your intended use.

### VoiceFleet

Ask us to demonstrate your required administrative workflow before forwarding patient calls. Check [current VoiceFleet pricing](https://voicefleet.ai/pricing), included minutes and usage terms. This guide does not verify native Dentally integration, insurance verification, clinical triage, an immediate booking notification or a guaranteed setup time.

VoiceFleet acts as a data processor under its [Data Processing Agreement](/dpa). Some providers or integrations you choose may process data outside the EEA; our [Privacy Notice](/privacy) explains regional options and international transfers. If you handle patient health information, check the requirements in our [Terms](/terms) and [DPA](/dpa) before going live.

## Run the same administrative acceptance checks

- **Appointment request:** Ask for a new appointment, then change the requested time. Check whether the system captured a request or actually confirmed an appointment in your practice-management system. Ask staff to verify the result.

- **Corrected caller details:** Correct a name or callback number and inspect what staff receive. Use synthetic details in the demonstration, not patient information.

- **Human handoff:** Request a person and test the agreed fallback when that person is unavailable. A callback request is not a completed transfer.

- **Unavailable integration:** Ask what the caller hears and what staff receive when the connected system cannot be reached. Confirm who owns follow-up.

- **Clinical boundaries:** Agree on practice-approved escalation instructions and who handles clinical questions. Do not rely on an AI receptionist to assess clinical urgency or replace clinical judgment.

- **Numbers, hours and language:** Confirm your required Irish number, coverage hours and supported caller languages in the exact service being offered.

These are tests to request, not results we have observed for these providers. Document both failed and successful scenarios before a limited rollout.

## Compare costs and review requirements

Request a quote for the same expected minutes or calls, seats, coverage hours and handoff needs. Compare currencies, taxes, included usage, overages, setup costs and contract terms. A lower advertised starting price does not establish a lower total cost.

Use your own phone records to understand unanswered calls and callback needs. This guide does not substantiate a national missed-call percentage, a lost-revenue estimate or a promised reduction in missed calls. For related context, see our [missed-call guide](https://voicefleet.ai/blog/missed-calls-cost-irish-businesses-2026); treat any assumptions separately from your measured practice data.

## Questions before a decision

### Can a receptionist book directly into our practice-management system?

Ask the provider to demonstrate the exact integration and action you require. Confirm the resulting appointment in the destination system; spoken confirmation alone is not proof of a booking.

### Does choosing a provider establish GDPR compliance?

No provider label replaces reviewing the proposed processing, contractual terms and your practice's obligations. Review requirements with the people responsible for data protection in your practice.

### How long will setup take?

Request an estimate for your configuration, number arrangements, integrations and staff acceptance checks. This guide makes no guaranteed setup-time claim.

## Choose on demonstrated fit, not a self-awarded winner

Shortlist providers against your requirements, review the terms and compare the same demonstrated scenarios.
