**TL;DR:** For an accounting firm, start by deciding which calls can become a callback request and which need a qualified member of staff. Before forwarding client calls to an AI receptionist, test the proposed enquiry capture, handoff and appointment workflow. This guide provides checks to run; it does not report a completed test or a customer result.

VoiceFleet is our product. Use a demonstration with your firm's scenarios to establish what is supported in your configuration, rather than assuming that a fluent conversation proves an appointment, notification or client record was saved.

## Start with your firm's call records

Review a defined period that includes your own busy days. Separate prospective-client enquiries, existing-client questions, document queries, repeated calls and spam. Record what happened to each request and who followed it up.

Do not assume that every missed call represents a lost client. Compare the proposed workflow with your current callback process using actual records, not an industry-wide percentage or a hypothetical revenue figure. A different number of answered calls does not, by itself, establish additional clients or revenue.

## Define the boundary between reception and professional advice

Write down what a receptionist may collect and what must go to your team. A simple enquiry might need a name, callback number, requested service and preferred contact time. Your firm should decide which information is necessary and how it is handled.

Keep tax advice, interpretation of notices, filing decisions and commitments to undertake work with qualified staff. Do not treat an automated answer as confirmation of a client's deadline, extension, filing status or payment. Ask how the proposed setup handles questions outside its approved information.

For an urgent or time-sensitive query, agree on a named human handoff and a fallback if that person is unavailable. Do not promise an immediate response unless your firm can actually provide it.

## Test the next step, not just the conversation

Use synthetic details in a test environment agreed with the provider. The following are proposed acceptance checks, not observed results:

Caller scenarioWhat to inspect A new client asks about bookkeepingThe enquiry reaches the responsible person with the correct service and callback details; it is not presented as an accepted engagement. The caller corrects their phone numberThe final saved record contains the corrected number. A client asks whether documents have arrivedThe workflow does not invent a document status or disclose client information without an approved process. The caller wants a consultationA captured request remains unconfirmed until staff confirm it, or a supported calendar workflow creates the correct appointment in the intended diary. A transfer goes unansweredThe caller hears an accurate fallback and staff can find the unresolved request. The caller asks for tax adviceThe call follows the firm's agreed professional-advice boundary and handoff.

A spoken booking confirmation is not proof of a calendar write. Check the receiving system directly. Likewise, verify that the intended person receives a notification rather than assuming that a summary was delivered.

## Verify practice-management and onboarding steps separately

If you use Xero Practice Manager, Karbon, AccountancyManager or another system, confirm current support for the exact connection and task. This article does not establish that VoiceFleet has a working integration with those products.

Break onboarding into separate steps: enquiry capture, consultation request, document collection, engagement approval and practice-management entry. Ask which steps are supported, which require staff, and what happens when a connected service is unavailable. Do not infer automated welcome emails, document reminders or engagement-letter signing from a call-answering demonstration.

Avoid collecting sensitive identifiers or documents merely because a caller offers them. Review what the reception workflow needs, how identity is checked and which approved channel your firm uses for client documents.

## Compare capacity and cost against your actual workload

VoiceFleet's current [pricing page](https://voicefleet.ai/pricing) lists Starter at €99/month for 500 minutes, Growth at €299/month for 1,000 minutes, and Pro at €599/month for 2,000 minutes. The listed parallel-call capacities are 3, 5 and 10 respectively. These are bounded allowances, not infinite capacity or unlimited usage.

Extra-minute packs are available. With hard stop active, a verified zero balance pauses new inbound AI calls until top-up or renewal. Confirm the currency, taxes, current terms and any required add-ons for your setup.

Compare human reception, an answering service and an AI workflow using quotations and your own staffing and follow-up costs. Check agreed hours, simultaneous-call limits and fallback arrangements for each option. Do not assume that human services cannot offer after-hours cover or appointments.

## Review privacy and client-information handling

VoiceFleet acts as a data processor under its [Data Processing Agreement](/dpa). Some providers or customer-selected integrations may process data outside the EEA; see the [Privacy Notice](/privacy). Review the actual data flow and configuration rather than relying on a blanket compliance statement.

Before connecting client information, establish who can access call records, what is retained, how deletion requests are handled and what callers are told. This checklist is not a certification of your firm's compliance or a substitute for its professional assessment.

## Start with a limited, reviewable workflow

- Choose one enquiry type and identify the staff member responsible for follow-up.

- Write the approved greeting, information boundaries and handoff rules.

- Run the relevant scenarios above with synthetic details and inspect the resulting records.

- Confirm usage limits, outage handling and how to restore your previous forwarding arrangement.

- Review unresolved enquiries and actual staff follow-up before expanding the scope.

Keep appointments, advice, client acceptance and document processing distinct. A successful reception test does not establish that the rest of onboarding is automated.
